Treat expiry and revision as operations, not magic
Once offline media leaves the team, remote replacement or revocation may not be available. An expiry date on a register does not erase a package. Use custody, version communication and return or destruction procedures that reflect this limitation.
A safety procedure changes while version 2 packages remain at dozens of dealers. The coordinator cannot assume every offline copy will update itself. The release plan must identify recipients, send a withdrawal notice, provide version 3 and verify the old package’s disposition.
Run a verifiable release workflow
- 01Assign a unique release identifier and visible revision state to each package.
- 02Maintain a recipient and custody register.
- 03Define the approval period and the event that withdraws a version.
- 04Issue replacement instructions through an established dealer channel.
- 05Obtain return, destruction or documented exception evidence for obsolete media.
Leave a record another coordinator can follow
The revision register should show release ID, approved content versions, approver, issue date, recipients, withdrawal trigger, replacement date and verified disposition.
Pause and review when
- The team promises remote revocation without a tested mechanism.
- No register connects a package ID to its current custodian.
- A revised video reuses the old package identity.
A technical restriction is not complete control
Do not promise screen-capture prevention, web DRM or support for every format/device. Test only the workflow you intend to claim, preserve unrestricted authorized masters separately, and pair technology with rights, custody, versioning and support.
Resolve these before release
Can offline files always be remotely expired?
No. Do not promise remote control unless the exact product, package and environment provide a tested mechanism.
Should an old package simply be overwritten?
Preserve traceability. Issue a new version identity and record what happened to the withdrawn media.
